AMTA Exhibiting Terms and Conditions

By participating as an exhibitor in an American Massage Therapy Association (AMTA) event, you and your company agree to the following terms and conditions and the AMTA Guidelines for Exhibitors which are posted on the public pages of the AMTA website. These guidelines and terms/conditions will be strictly enforced, any violation may result in actions including but not limited to fines, loss of priority for exhibiting in future AMTA events, removal of the exhibit and exhibitor. Please sign, make a copy for your files and return to AMTA with your application for exhibit space.

Nature of the Exposition

The AMTA Exhibits Marketplace is an event designed to provide a showcase for products and services either specifically designed for or customarily used in the massage therapy profession. AMTA reserves the right to refuse rental of exhibit space.

Rules and Regulations

The exhibitor agrees that AMTA shall have the right to make such rules and regulations or changes in arrangements as it shall deem necessary, and to amend same from time to time.  AMTA shall have the final determination and enforcement of all rules, regulations and conditions.

Set Up

All exhibits should be set by the start of the show. Should any rented space remain unoccupied two hours before opening on the opening day, or for any time thereafter, AMTA reserves the right to rent such space to any other applicant or to eliminate such space and no refund shall be made to the original renter.

The reverse side of the back wall of a display must be finished or draped in order to avoid raw exposure to a neighboring exhibit. This is the responsibility of the exhibitor. Island exhibits will be draped by show decorator to provide privacy for adjoining booths. 20 x 20 booths will not be draped in order for the exhibitor to have more room.  AMTA will provide general booth draping for the entire show.  Any special cover-up draping is the responsibility of the exhibitor and will be charged to them.

No Children under the age of 14 allowed in the exhibit hall during set up or tear down.

Subletting of Exhibit Space

Participants may not assign or sublet any space allotted to them, and may not advertise or display goods, other than those manufactured, distributed or sold by them in the regular course of business, without authorization by AMTA.

Tear Down

No part of an exhibit shall be dismantled nor materials removed during the exhibit hall hours without special permission from AMTA. Any exhibitor dismantling their booth without permission will be fined $500.00 for disruption of the ongoing Exhibits Marketplace. All space must be vacated by designated time. If spaces are not vacated by that time, AMTA reserves the right to remove materials, and charge the expense to the participant.  AMTA will not be liable for damage of the materials caused by such removal.

Use of Space

All marketing activities of each exhibitor must be confined to the exhibitor’s allotted exhibit space. Cross-selling or any type of marketing promotion or signage of your product in other exhibits is not allowed.  Demonstrations at exhibits must be designed to take place and keep the audience within the existing exhibit space to allow free access in aisles to maintain crowd control and fire regulations. Samples, catalogs, pamphlets, publications, etc. may be distributed by exhibitors only from their own booth space. AMTA reserves the right to exclude any giveaways. Fundraising, sideshow tactics, or other undignified methods considered by AMTA to be objectionable, are expressly prohibited in the exhibit area.

Audiovisual and other sound and attention-getting devices and effects will be permitted only in those locations and in such intensity as, in the opinion of AMTA event management staff, they do not interfere with the activities of neighboring exhibitors. Operational equipment demonstrated may not create noise levels objectionable to neighboring exhibitors.

Demonstrations using live models are subject to AMTA approval; inappropriate disrobing of attendees or vendors as deemed by AMTA event management staff is not permitted. Anyone receiving a massage must be fully clothed.

Prizes, awards, drawing raffles, lotteries or contests may be permitted. Requests for approval of such activities must be submitted to AMTA three weeks prior to the exhibition date.  AMTA will provide a means to post your booth drawing and winners.  Instructions will be provided and must be adhered to.

If anything in your rented space is not in compliance with local laws the exhibitor is liable for municipal fines and may be asked to dismantle their exhibit and leave. 

Cancellation

Cancellation of exhibit space must be in writing on company letterhead. Telephone cancellations will not be accepted. One-half of the exhibit fees will be refunded on cancellations received 120 days prior to the event, only if the space can be resold to another participant by AMTA.  In no case will refunds be issued for cancellations made after this time.   In the event of the AMTA National Convention being canceled due to fire, strikes, government regulations, acts of God or other causes beyond the control of the association, AMTA shall not be held liable for failure to hold the National Convention and Exhibits Marketplace as scheduled, and AMTA shall determine the amount of exhibit fees to be refunded.

Booth Personnel

Not more than two (2) people may be assigned to work an 8’x10’ or 10’x10’ booth space.  Additional booth staff must be approved by AMTA. Exhibit booths must maintain personnel in the booth during show hours. Unattended booths for an extended time during show hours may result in removal of exhibit. Exhibitor booth personnel will wear their badge and ribbon at all times during setup, show hours and teardown. Exhibitors not wearing badges will not be allowed into the exhibit area. Distribution of badges is the responsibility of the vendor.

Use of the AMTA Name

Participation by an exhibitor at an AMTA meeting does not entitle the exhibitor to use the AMTA name or AMTA logo. The exhibitor may reference the exhibitor’s participation as an exhibitor at a specific AMTA meeting, use the meeting logo and advertise their booth number.  Participation at AMTA meetings does not imply endorsement or approval by AMTA of any product, service, or participant and none shall be claimed by a participant.

Exclusive Activities

No activities shall be scheduled during the time of the official program hours except with express permission of AMTA. These areas include, but not limited to, fundraising, the procurement of Hospitality Suites for the sole purpose of entertaining AMTA attendees, and Vendor Presentations when conducted during the official show hours. Sponsorship activities are to be coordinated solely through the AMTA event management staff. Any of the above must be finalized and approved by AMTA at least 3 months prior to the opening of the convention.

Privacy and Solicitation

AMTA prohibits photographing, videotaping, or examination of another exhibitor’s equipment or entry into another exhibitor’s booth without permission. Solicitation of exhibitors by other exhibitors during show hours is forbidden, this includes leaving advertising or promotional materials in exhibitor booths. As per previous agreement with exhibitors, AMTA will not release company contact information to anyone.  AMTA will protect your privacy.

Vendor Compliance with Facility Regulations and Insurance

Exhibitors or their agents may not allow any articles to be brought into the facility or any act done on the premises which will invalidate the insurance or increase the premium of the policies held by the management of the facility, nor permit anything to be done by their employees through which act the premises, property or equipment of the other participants will be damaged. No signs or articles can be affixed, nailed, or otherwise attached to walls, doors, etc. All space leased is subject to these restrictions. Violations of these rules will annul the exhibitor’s contract, and the exhibitor will be held liable for any damage resulting from such violations.

Hold Harmless

AMTA, the facility management, or any officers or staff members will not be responsible for the safety of the property of the participants from theft, damage by fire, accident or other causes. Participants are advised to consult their insurance brokers for proper coverage on display material from the time it leaves their company’s premises until its return.  In most cases, a rider can be added to a current policy for a very nominal cost.  Neither AMTA, nor the facility management, nor any of their officers, agents, employees or representatives, shall be held accountable or liable for, and the same are hereby released from accountability or liability for any damage, loss, harm or injury of the person or any property of the applicant or any of its officers, agents, employees or other representatives, resulting from theft, fire or other causes. Neither AMTA nor the facility management will obtain insurance against any such damage, loss, harm or injury.

Participants hereby agree to indemnify, defend and protect AMTA and the facility management and hold AMTA and facility management harmless from any and all claims, demands, suits, liability for any damage, loss, harm or injury to the person or any property of the applicant or any of its officers, agents, employees or other representatives, including but not limited, to claims of damage or loss to property or from any damage, loss, harm or injury to the person or any property of the participant or any of its officers, agents, employees or other representatives.

Should any of these terms and conditions be violated, some or all of the following actions may be taken by AMTA to rectify the situation.

A warning will be given unless immediate action is necessary due to any major disturbance or infraction of one or more of the above terms and conditions.

  1. Closing of booth at end of day.  Exhibitor is to tear down exhibit and leave exhibit hall.  Any charges incurred are the responsibility of the exhibitor for the removal and shipment of materials.  No refunds will be given.

  2. Refusal of application for next year’s AMTA events.

  3. Refusal of application for all future AMTA events.

  4. Fines as indicated will be charged against your credit card on file.
